New Procedure for Form I-9
The following is a memo from Human Resources Development to deans, directors, department heads, supervisors, and administrative staff.
As you know, the Office of Human Resources Development (HRD) strives to maintain the confidentiality and integrity of personal and confidential information provided by our employees. HRD consistently reviews internal processes and procedures to evaluate and reduce the potential risk of a breach of confidentiality. As a part of our ongoing efforts in this area, the process for completion of the Form I-9 was recently reviewed and has been modified due to the sensitive nature of the information contained on the form.
Historically, HRD has facilitated the completion of the Form I-9 for regular full-time and regular part-time faculty and staff. Departments have maintained responsibility for collecting and submitting the completed Form I-9 to HRD for temporary and student workers. Effectively immediately, HRD is asking all newly hired temporary staff, student employees and work study students to complete their Form I-9s in HRD, which is located in the Financial and Administrative Services Building (FASB). This change is intended to ensure the forms are completed accurately as well as limit the exposure of confidential information across campus.
In addition, employment rosters have been updated to include the supervisor of the individual(s) being employed by a department. This change will allow HRD to identify the appropriate individual to contact if there are any questions regarding the roster. Please begin to use these new rosters immediately and destroy any old versions of rosters that may be in your department. The updated rosters can be downloaded from the HRD Forms page at www.hartford.edu/hrd/forms.
