Dance Department Office Coordinator (full-time)

The Hartt School Community Division seeks a professional, organized self-starter with strong systems, office, and customer service experience. The Office Coordinator works closely with members of the Dance Department team to oversee, facilitate, and initiate office and administrative processes that ensure the successful day-to-day business operations, with an eye for supporting the overall mission of the school and its programs. The coordinator is responsible for all customer service activities, including the oversight and management of a small part-time customer service team. Ideal candidates must have exceptional written and verbal skills, possess a drive for continuous systems improvement/enhancement, an ability to leverage technology, and a passion for performing arts education. This position requires regular working hours of 11 a.m. to 7 p.m., Monday through Friday, with occasional weekend work for events, performances, and other important school activities.

Receptionist

RECEPTIONIST JOB DESCRIPTION

The Receptionist is the main point of contact for all customers and faculty members, providing the first line of customer service and sales help. This individual answers a wide range of questions regarding programs, registration, facilities, billing, and initiates necessary action or procedures to resolve issues. The Receptionist also assists other staff members with various projects as needed. This is a part-time, temporary position with opportunity for advancement.

Responsibilities

Customer Service

  • Greets and announces visitors in a friendly and professional manner.
  • Provides excellent customer service via phone, email, and in person.
  • Assists customers with the registration and bill-pay process.
  • Logs voicemails, responds to messages, and forwards messages to the appropriate staff person.
  • Responds to email inquiries in a timely and professional manner.
  • Assists customers with registration or billing questions.
  • Provides information regarding all HCD programs.
  • Ensures that all customer issues are resolved or forwarded to the appropriate faculty or staff member, following up as needed.
  • Works closely with the HCD staff to ensure seamless day-to-day operations as the first line of contact with customers and teachers.
  • Uses the University of Hartford student database (BANNER) to look up student records, account balances and other customer information.
  • Uses the University of Hartford facilities management database (R25) to locate classes, lessons, and other events.
  • Contacts staff or faculty on behalf of customers to address questions or issues.

Sales

  • Monitors and listens to clients to understand inquiries and needs in order to provide prompt and accurate information about programs and services.
  • Accurately records or forwards audition requests.
  • Carefully records all inquiries from potential customers in the appropriate Online Inquiry Form.
  • Provides detailed and correct information about all HCD programs, referencing website, staff notices, or other staff to ensure accuracy.
  • Assesses customer needs and makes helpful recommendations regarding programs and placement processes.

Administrative

  • Facilitates communication between customers, faculty and staff.
  • Performs basic mathematical calculations using a calculator/computer to accurately figure tuition, fees, and payments.
  • Drops off, picks up, processes, and distributes mail.
  • Provides support for miscellaneous requests and flex services with a "can do" attitude and philosophy.
  • Maintains neatness and organization of reception desk and front office areas with various administrative duties as outlined by supervisor.
  • Assists in administrative tasks including filing and maintaining student records.

Requirements

  • Due to the nature of the organization, reception staff may be required to work varying schedules to reflect the needs of the school.
  • Requires detailed and current knowledge of all programs. Receptionists must be detail-oriented and proactive regarding checking staff notices and the HCD website to ensure that information is accurate.
  • Requires the ability to multi-task, fielding phone calls and walk-ins simultaneously, and knowing when to request assistance from other staff.
  • Requires fluency with Microsoft Office applications, familiarity with database systems, and computer literacy.
  • Receptionists are typically scheduled for about 20 hours per week, including evenings and weekends.
  • Receptionist may be required to work at 2 or more locations.

Candidates should maintain a positive attitude under pressure, exhibit a strong work ethic, and enjoy working with a wide range of personalities. Professionalism and motivation are a must, as are the ability to take initiative and think several paces ahead. A strong background in music or dance is preferred though not required.
