Reserving Space

Who can Reserve Spaces:
All spaces within the Student Center Facilities are available to be reserved for all Student Organizations who are officially recognized by the Student Government Association and Faculty/Staff Department areas.
If you are unsure of your recognition status with the Student Government Association (SGA), please contact the SGA at SGA@hartford.edu.

Organized activities/events must be held in reservable spaces by University sponsored organizations and contracted external groups.

External Clients looking to reserve spaces within the Student Centers Facilities, please contact Business and Scheduling Administrator, Ms. Fallon Roberson at robersonr@hartford.edu

How to Reserve Spaces:
**All reservations request must be submitted 3 business days prior to the event day. The Student Centers has the right to deny any reservation request that is not submitted with appropriate notice.**

University of Hartford SGA Recognized Student Organizations and Faculty/Staff Department Areas:

  • Check the availability of the location on the 25Live Calendar
  • After reviewing the availability of the anticiapted location, complete the SCA Space Reservation Form. Note: incomplete reservation requests forms will not be processed.

University of Hartford Greek Life - Fraternity and Sorority Organizations

  • Check the availability of the location on the 25Live Calendar
  • Complete the Greek Life Event Registration form. This form can be found on the Office of Student Activities and Greek Life Webpage
    • The Greek Life Event Registration Form must be approved by the appropriate Greek Life Advisor before the SCA Space Reservation Form can be completed
  • After the Greek Life Advisor has approved the Greek Life Event Registration form, complete the SCA Space Reservation Form. All SCA Space  Reservation Rrequests submitted before the Greek Life Event Registration Form is completed will be denied. Please visit the Greek Life webpage for details.

Event Cancellation and Changes

If you must cancel your reservation, we ask that you please do so at least 48 business hours prior to your event's scheduled start time by completing the Event Change/Cancellation Form to avoid a $50 cancellation fee.
