President of the Alumni Assocation and Board of Directors

It is the responsibility of the President of the Alumni Association to provide volunteer leadership to all of the activities of the Association, and to collaborate with the Director of Alumni Engagement to develop and support the strategic objectives of the University, the Association, and Office. The President presides at all meetings of the Executive Committee, Alumni Board, and Alumni Association. The President is the primary ambassador for the Alumni Association and as such is a constant advocate for both the Association and the University. The President should spearhead the visibility efforts of both the Association and Alumni Board.

Building and sustaining strong relationships with the University family, especially alumni, is a primary role of the President. The President should also build strong relationships with the University's President, Officers, Board of Regents. and Office of Institutional Advancement staff.

It is also expected that each member of the Alumni Board will be an annual donor and supporter of the UHart Impact Fund and, if possible, make a leadership gift. The President will also seek 100% Alumni Board participation in annual giving.

Description of Responsibilities

  1. Board Participation
    • Provides overall volunteer leadership to all of the activities of the Association and Alumni Board.
    • Chairs all meetings of the Alumni Board, presides over all meetings of the Executive Committee, chairs the Strategic Planning Committee, and oversees the activities of all of the designated directors and ad hoc committees of the Board.
    • Serves and actively participates on the Governance Committee.
    • Participates in winter and spring Commencement ceremonies, as well as the annual reception for new graduates.
    • Leads the Executive Committee in regular review of Alumni Board policy guidelines and practices regarding member participation, conflict of interest, confidentiality, etc., and suggests improvements as needed.
    • As member of the Executive Committee, assists Governance Committee to lead the Alumni Board in its self-assessment and develop recommendations for self-improvement.
  2. Strategic Plannig
    • Collaborates with the Director of Alumni Engagement, as well as individual Alumni Board members, to set annual goals for the Association, the Alumni Board, and its committees. Works throughout the year to see that goals are implemented and the outcomes are shared broadly.
    • Leads the Alumni Board in regularly reviewing the Board’s mission statement and helps shape the Board’s agenda based on this statement and the strategic plan.
    • Works closely with staff and the Executive Committee to ensure that the Board’s development reflects the necessary constituent and interest groups as they evolve under the strategic plan.
  3. Outreach
    • Supports efforts to communicate Alumni Association efforts and activities to the University and alumni communities.
    • Regularly attends University of Hartford and Alumni Association events.
    • Identifies potential alumni volunteers, sharing information with staff and other board members.
    • Uses every opportunity to widen and deepen the circles of alumni engagement and support in the life of the University.
    • Serves as an advocate and ambassador for the Alumni Association and the University of Hartford.

Summary of Qualifications

All candidates for President are strongly preferred to have had at least one year of prior service associated with any University of Hartford board or committee as an alumna/us; proven leadership in the University community; good management skills; and strong communication, presentation, and public speaking skills. The President also should demonstrate a superior ability to build and sustain strong relationships with alumni, parents, and friends of the University, as well as faculty, students, and staff on the campus.

Term:

The term of office for the President is three years, beginning July 1.

  • Convene ad hoc committees as s/he sees fit.
  • Monitor the work of all Alumni Board committees and provide assistance where needd.
Time Required:

The President is expected to attend and chair all meetings of the Alumni Board and the Strategic Planning Committee, and serve as an active member of the Governance Committee. In addition, it is expected that regular, on-going consultation and collaboration with staff at the University and volunteers across the country will continue throughout the year.

General Timeline of Activities:

Late Spring/Summer: Send thank you note to all fiscal year volunteers. Work with Director of Alumni Engagement (DAE) to set the agenda for the summer Alumni Board meeting. Confirm agenda and share with Alumni Board prior to the meeting. Work with DAE and Governance Committee Chair to plan the orientation breakfast for new members prior to the summer meeting. Set the agenda and talking points for the orientation.

Summer: Chair summer meeting and send timely follow-up to the Board. Set annual goals and ensure all Alumni Board goals are reported on and achieved.

Late Summer/Early Fall: Work with DAE to set the agenda for the fall Alumni Board meeting. Develop talking points for Hawktober Weekend.

Fall: Participate in Hawktober Weekend events. Chair fall Alumni Board meeting and send timely follow-up.

Early Winter: Work with DAE to set the agenda for winter Alumni Board meeting.

Winter: Participate in Winter Commencement Ceremony. Chair winter Alumni Board meeting and send timely follow-up.

Spring: Participate in Commencement ceremonies as well as annual reception for new graduates. Chair the Alumni Board meeting.

Late Spring/Summer: Work with DAE to set the agenda for the summer Alumni Board meeting. Confirm agenda and share with Alumni Board prior to the meeting.

Ongoing:
  • Constant collaboration with DAE regarding the work of the Board.
  • Constant collaboration with the Executive and Governance Committees regarding the strategic planning work of the Board and its committees.
  • Outreach to designated directors to discuss their work, thoughts on the Board, and suggestions.
  • Attend University and Alumni Association events when possible to represent the Alumni Board and promote visibility of the Association.
