Important Budget Office Deadlines
As we are quickly approaching the end of FY2012, please be advised of the following Budget Office deadlines:
General Budget Revision Procedures
Please keep in mind that departments can move budget dollars within their org in the expense account lines that begin with a 6XXXX, without budget office approval. Only budget revisions that include revenue (4XXXX) or compensation (5XXXX) account lines, cross departments/organizations and/or involve the Operating and a Restricted Fund need to be sent to the Budget Office.
Permanent Budget Revisions/Transfers
All permanent budget revisions for FY2012 that require Budget Office approval (F240) should be completed at the department level or submitted to the Budget Office no later than June 4. This includes permanent (F241) revisions done at the department level and (F240) revisions done through the budget office.
Temporary or One-Time Budget Revisions/Transfers
Any remaining temporary or one-time budget revisions that require Budget Office approval should be submitted to the Budget Office before June 8. Any temporary or one-time budget revisions that can be done at the department level can be processed through June 30. If you have a circumstance arise that requires a budget transfer, that cannot be done at the department level, after June 8, please contact the Budget Office.
Deficits
Please address all budget deficits by June 20. You should keep in mind the Accounting and Payroll timelines for processing, and adjust your budget accordingly in order to avoid any deficits. Any deficits to account lines after June 20 may result in a deficit for the end of the fiscal year and will require explanation at a later time.
Your cooperation in keeping within these timeframes will make for a smoother closing of FY2012. If you have any questions or concerns, please contact Melissa McCaw, Budget Director, at ext. 4153; or Rohan Patel, Budget Analyst, at ext. 5573.
The Budget Office team greatly thanks you in advance for your cooperation. We look forward to working with you in FY2013.
