Procedures for Moving Out of Your Residence Hall

Believe it or not, we're coming upon the end of the academic year, which signals the time for on-campus residents to start thinking about moving out of their residential communities. Faculty, staff, and residents are encouraged to review the following message to ensure a smooth transition into the summer months at the University of Hartford.

Timeline for Checking Out of Residential Areas

Resident students who are not graduating are required to move out 24 hours after their last exam or Wednesday, May 13 at 1:00 p.m. (whichever comes first).  Residents who desire to stay past 1:00 p.m. on Wednesday, May 13, must file a Late Stay Request to stay beyond hall closing with the Office of Residential Life (ORL). Forms associated with this request are available online at http://uhaweb.hartford.edu/reslife. Requests submitted to our office after the deadline of Friday, May 8, at 4:30 p.m. will carry nightly room charges ($35-$45 per night, depending on location).

Students receiving a degree in May 2009 are permitted to remain in their residential assignment through Sunday, May 17 at 5:00 p.m. All students participating in graduation are encouraged to check-out and return to campus if possible. However these students are also permitted to stay on campus as well.

Procedure to Check Out of Residential Areas

Residents should first discuss damage and cleaning responsibilities with roommate(s) in advance of their departure from campus. Then, residents need to remove all personal belongings from their room and clean their room/suite/apartment thoroughly.

Once residents have completed the above steps and ensure they have all keys to their assigned room, they will meet with Residential Life staff at their designated check-out location to choose one of two ways to check out and return their keys.

Once you have completed the above steps and have all keys to your assigned room, you will meet with Residential Life staff at your designated check-out location to complete an escorted check-out and turn in your room keys. A member of the ORL staff will go to your room and note the closing condition on your room condition report, collect your keys and issue you a check-out receipt.

The other option will be to meet with the ORL staff and choose to complete an Express Check-out. Students who choose this option waive the right to appeal damage that might later be found in the assigned room. You would complete the check-out envelope with your RA, check the Express Check-out box, sign the Express Check-out option, and return your key in the envelope and keep your key receipt for future reference.

RA staff will be available for check-outs at your area office locations starting May 6 from 9 a.m. to 1 p.m. and 4 p.m. to 10 p.m. on a daily basis through Tuesday, May 12. On Wednesday, May 13, the check-out times will continue until 4:30 p.m. only. Our staff will be available after 7 p.m. for late departures. Please note that all students who are not graduating or participating in an official capacity on May 17 will be expected to vacate by closing on May 13 at 1 p.m. Please plan ahead accordingly to avoid any unnecessary late-stay fees!

Room Damages and Trash

The best way to avoid being billed is to ensure your room is left in as-good or better condition than you found it. Residents may not repair damages in their space; any attempt at repairs will still result in charges for the initial damage.

Save yourself money by personally taking all your trash to the dumpster! Any large items should be placed in the bigger dumpsters available near each residential area. If trash is left for us, the minimum removal fee is $25 per bag of trash or $50 for larger items such as couches.
