Please note: This information is not about the current pay period, Dec. 1–Dec. 14, 2025.
The Self-Service system deadline for submitting and approving all employee timesheets in Web Time Entry (Self-Service) for the pay period Dec. 15–28, 2025, will be Monday, Dec. 29, 2025, at 11 a.m. for employees and 8 p.m. for approvers. This extended approval window should allow supervisors extra time to approve since we are closed between Dec. 24, 2025 and Jan. 2, 2026.
If, as a supervisor, you will not be available for approvals on Monday Dec. 29, 2025 since the University is closed, you must have your employees prefill their working time and submit their timesheet to you before you will be logged in for approvals. Please establish with your employees your personal deadlines ahead of time. For example, if you ask your employees to submit timesheets on Dec. 23, 2025 so you can review and approve on Dec. 23, 2025 before leaving for winter break. Supervisors should otherwise plan to log in on Monday, Dec. 29, 2025 and review and approve pending timesheets.
Employees and Supervisors should review, submit, and approve the timesheets prior to leaving for the Winter Break for the corresponding pay date of Jan. 2, 2026 (submission deadline Dec. 23, 2025). Changes will not be allowed after the Dec. 29 deadlines, as the timesheets will be locked from further edits. Please amend this timesheet for any hours not entered by these deadlines for payment in the next period.
If you need to submit a paper timesheet, it must be in the Payroll Office by noon on Tuesday, Dec. 23, 2025.
The winter break should be recorded on the time sheets as follows for regular full-time and part-time non-exempt employees:
- Dec. 24, 2025—University Close
- Dec. 25 & 26, 2025—Holiday
The following dates are for the pay period Dec. 29, 2025–Jan. 1, 2026:
- Dec. 29–31, 2025—University Close
- Jan. 1, 2026—Holiday
- Jan. 2, 2026—University Close
If you are assigned a non-traditional work schedule, please see your supervisor for any questions you may have recording time for the winter break. Please note that student and temporary employees do not receive Holiday Pay or University Close Pay, as these employees only report on time physically worked.
As we reach the end of the year, please keep reading UNotes, as the Payroll Department uses this media to communicate information.
Please keep in mind that this timesheet is due on Dec. 29, 2025. You can access Self-Service from any device with internet connectivity.
All pay checks for Jan. 2, 2026, will be mailed to the current payroll address on file. Please take the time to verify that your payroll address is correct in the system to avoid a delay in receiving your check. Direct deposit information will be available through the University’s Employee Self-Service portal.
Thank you for helping the Payroll Office during this short processing period.
Enjoy the break and Happy Holidays.
