Starting Friday, May 23, and ending Friday, Aug. 8, the University has approved early office closures on Fridays during this 12-week span during the summer terms. Please pay extra attention to the last eligible Friday on August 8; the subsequent Friday on August 15 will be the first full working Friday back with no early closing.
Offices can close beginning a 2 p.m. during these 12 Fridays, which means the remainder of most employee shifts can end with a punch out at 2 p.m. on the Regular Pay line on timesheets, and the remainder of the day's hours recorded on the University Close lines.
Usage of University Close hours should not be used in excess (employee shift start times should remain the same) but supervisors can reach out to Payroll with questions for employees who have non-traditional schedules.
These closing hours apply only to regular full- and part-time staff; temporary and student positions are not eligible for University Close hours.
As an example, an employee working 7:30 a.m. to 4 p.m. as their usual daily schedule would record their time as: 7:30 a.m. to noon, and 12:30 p.m. to 2 p.m. on the Regular Pay line (these time slots account for 30 minute lunch, 6 hours total on Regular Pay) and then 2 p.m. to 4 p.m. on the University Close line for the remaining 2 hours (this would be for an 8 hour per day employee, a 7 hour per day employee who usually works from 7:30 a.m. to 3 p.m., as an example, would record 2 p.m. to 3 p.m. on University Close in this instance).
Not all offices and employees will have the exact same and end start times depending on office needs and position, but the general guidance is that University Close may be used for any hours usually worked after 2 p.m. on Fridays during this time frame. Supervisors with questions can reach out to Payroll.
Thank you and have a happy summer!
