Here are updates regarding the new Student/Temporary Employment Position Needs Analysis process that was referenced in the August Updates community email, as well as in alignment with the Staff Position Needs Analysis process that is now underway. Please share the following message with anyone in your department or unit that supervises and/or hires student/temporary employees.
Effective immediately, this process must be adhered to in order to better align budgets, as well as reduce the total cost of student employment. We are asking managers and supervisors to be thoughtful and thorough as they identify departmental needs. Please submit only 1 form for each position, noting the number of positions you are requesting for that job. For example: if you have 5 student workers that are performing the same task (office coverage), you can submit 1 form instead of 5.
Positions that require a Student/Temporary PNA:
- All new and/or reactivated non-work study student positions (S2)
- All new and/or reactivated temporary staff positions (N6)
- Graduate/teaching students on a roster (GA)
Process:
- HR receives Student/Temporary PNA form
- HR will review and respond within 3-5 business days
- If approved, an epaf can be submitted (or roster for teaching GA’s)
- If there are questions, or not approved, HR will reach out for discussion
Student positions that are NOT affected and can submit an epaf without PNA or prior approval:
- Grant-funded student/temp positions (S2, ST0000 or N6, TM0000)
- Please write grant funded and the fund number in the ‘Comments’ section of the epaf
- Work Study positions (S1, ST3450)
- These will be reviewed and approved by Financial Aid
As a reminder, students and temps MAY NOT begin working until every step of this process is complete. The epaf must be fully approved prior to the student/temp starting working. As a reminder, epaf status can be reviewed by the originator at any time in ESS.
