HawkPC Program

The HawkPC Program is available only to University of Hartford Faculty and Staff for institutional use.

Over 5,000 Hawk computers have been purchased and installed on campus.

Please review this website before ordering a computer as our prices, models and options change from time to time.

Please specify any additional accessories you may need for each computer you are ordering.  Accessories are listed below computer models.

ITS Support will:
  • Install/Setup a new Hawk PC/Mac with current or new peripherals provided appropriate drivers are still available and it is compatible with the Hawk PC.
  • Install/Setup new peripherals with existing computers only if compatible with current system configuration.
  • Install any properly licensed work related software only if current system configuration is compatible.
  • Reformat a HawkPC/Mac to ITS default standard configuration when appropriate/necessary.
  • Provide a last reasonable effort to assist with a HawkPC/Mac over 4 years old.

Software Not Allowed on HawkPCs

There should be no non-work related software on HawkPCs. OTS reserves the right to remove these, and others in this category, from the offending computer. This includes, but is not limited to, the following:

  • Optimizer Pro
  • File Sharing, P2P programs (Kazaa, Limewire, etc)
  • Torrent Software (BitTorrent, utorrent, etc)
  • MacKeeper
  • Weatherbug
  • AOL (full program)
  • Any "ad supported freeware"
  • CouponPrinter, Spinner, My Search Bar, Hotbar, etc

Supported Hardware

HawkPC/Mac Desktop - OTS will provide hardware repairs during warranty period. OTS will provide labor only for additional 2 years up to five years only. OTS will help facilitate acquisition of parts - cost of parts is paid by department by IDT. After 5 years, OTS offers a reasonable effort to repair with notice to purchase new computer.

HawkPC/Mac Laptop - OTS will provide hardware repairs during warranty period. OTS will provide labor only for additional 1 year up to 4 years only. OTS will help facilitate acquisition of parts - cost of parts is paid by department by IDT. After 4 years, OTS offers a reasonable effort to repair with notice to purchase new computer.

Non-Hawk PC/Mac - will not provide warranty or non-warranty diagnoses or repair assistance. Will provide vendor referral contact information, if known, for departments to facilitate repair.

HawkPC Printers - OTS will facilitate warranty hardware repair during warranty period only (usually 1 year). OTS will facilitate vendor repair for two additional years - cost of both labor & parts paid by department via PCard.

Note: Service are contracts available through theProcurement Dept. If the service contract is acquired, you must deal with the contracted vendor directly.

Non-HawkPC Printers - Support for warranty & out-of-warranty NOT available through OTS, we will provide vendor repair contact information, if known.

Peripherals - OTS will provide warranty & support on those items purchased through the Hawk PC Program. Peripherals acquired other than through OTS Hawk Program are the responsibility of the department to contact the vendor for support and facilitate warranty/non-warranty repairs/replacements.

Servers - Servers housed in OTS and purchased by OTS for end-user; OTS will provide warranty repair only. Non-warranty repairs are up to the end-user.

Personal Home Computers & ALL Peripherals - NO OTS SUPPORT AVAILABLE. Do not call OTS for problems encountered on a home machine or peripheral, even if being used for work purposes, unless configuring an Email client to read your UofH Email. If it is a university issued computer via the Hawk PC program and is still considered a University Asset, OTS will provide support as if this were a HawkPC, following the above requirements. The computer must be brought in to the OTS offices. There are no house calls. If a PC was an employee purchase (Faculty/Staff member bought out their PC via disposal process), it is considered a personal machine and OTS will not support it or dispose of it.

Hardware Disposal

If you are disposing of your old computer, please complete the University Property/ Asset Disposal & Transfer Form and send it to Procurement. OTS will come to remove your disposal items after Procurement has signed the form.

We do not dispose of Copy Machines, Typewriters, Fax Machines, and large printers (Over 30lbs). Please contact Facilities to have these items disposed of. 

Send this form to Procurement when the item is ready to be picked up.

Interdepartmental Transfer (IDT) Form


  • Please be sure to fill out all sections of this IDT, otherwise it will be returned.
  • Please be sure that you have sufficient funds in your account.  IDTs will be returned if your account comes up NSF (non-sufficient funds).
  • Computer and peripheral prices change from time to time, so please be sure to check out the page for the latest pricing. 
  • You must use the ITS IDT.  The standard UHart IDT will be returned if used.
  • Unless you are ordering a custom PC, you do not need to include the description or specifications of the PC in the IDT. Just indicate what PC you would like.
  • Please fill out all fields on-line, then print and send to ITS-CC125.
  • If purchasing software, please specify if it is for Mac or PC
  • Do not send IDT to Accounting.
  • IDTs to get updated from time to time, so be sure to check for new IDTs.

Please note: HawkPC orders will not be placed until the transfer of funds is complete.

Instructions for Submitting Interdepartmental Transfers (IDT) to ITS

1. Type of Transaction:

Fill out the type of transaction. This IDT can only be used to purchase a Hawk PC, Hawk Mac, computer peripherals and software.

2. Person Receiving Equipment:

Fill out who this PC/peripheral is going to. This should be the person who is actually receiving the equipment. If it is a lab orclassroom, this would be for the person who will be responsible for the lab/classroom. This person will be contacted by ITS when equipment is ready to be deployed. Please Note: Please make sure that the ORG is filled out. This will be where Accounting will assign the asset to (does not mean that the ORG pays for the equipment).

3. Department to be Charged:

Fill out which department is going to be charged. This does not have to be the department who is actually receiving the equipment.

4. Transfer Information:

Please fill out the transfer information. The Fund/Org is where the money will be coming from. Under Sub-Account Title, you will have a choice of what sub-account will be paying for the equipment. There is a drop down menu that you can choose from. Any missing or inaccurate information will delay the receiving of equipment.

68100 - Capital Expenditures (over $2,500): This is for computers or equipment that is over $2,500.

68100 - Printer (over $2,500): This is for printers that are over $2,500. Requires it's own IDT.

68110 - Non-Capital Exp. PC Only (under $2,500): This is for computers under $2,500.

68110 - Printer (under $2,500): Printers under $2,500. Requires it's own line on an IDT.

68129 - Hardware Exp. (under $2,500): Use for computer peripherals (not printers) under $2,500 (RAM, Hard Drives, etc).

68129 - Extended Warranty: Use this for PCs that require a longer warranty than the standard Hawk PC warranty.

68135 - Software Expenditure: For software - no hardware.

68100P - Capital Expenditure (over $2,500) Pooled account: For equipment over $2500 that comes from a grant.

68110P - Non-Capital Expenditure (under $2,500) Pooled Account: For equipment under $2,500 that comes from a grant.

68135P - Software Expenditure - Pooled Account: For Software that comes from a grant - no hardware.

On the right side, you need to use the drop down for where the funds will be going to. Fill in the amount under Amount. It will be totaled for you at the bottom.

If you are purchasing a printer and a computer, they need to be on separate lines.

If you are purchasing a longer warranty (4+ years), that additional warranty must be on a separate line.

You do not need to use a separate line for additional software and hardware (excluding printers) if you are purchasing a computer. Add the total cost to the one line. It will automatically add the total cost at the bottom. You will still need to explain what you are purchasing in the Explanation field.

5. Explanation:

Please tell us what you are purchasing. Please be specific.

For example:

Dell Optiplex 7020, w/ 4 GB RAM, 17" LCD Monitor, Wireless keyboard & mouse

If you are purchasing for a lab, you can use one line from section 4, but you must explain what you are purchasing and write in the amount of each individual PC in the explanation field.

For example: If you are purchasing 10 PCs for a lab and the total is $10,000 for all PCs and equipment, you can put in the total amount of $10,000 in section 4 under Amount. However, you must put down that you are buying 10 PCs in the explanation section and write in the cost of each computer and any software/hardware that is included with it. (i.e. 10 PCs @ $2,500 each = $25,000)

Do not attach anything to IDT. Everything that you are purchasing must be in the explanation field.

Do not put any instructions for setting up a Hawk PC in the explanation field. When the PC is set up, we will ask then how it is to be set up.

6. Signatures:

Please input who is filling out the IDT (does not have to be the actual person receiving equipment) and have an authorized signature and printed name in this section. If we have a question about the IDT, we will contact the person who filled out the form.

Requested by: (the person filling out the form and sending it to ITS, not the person receiving the equipment)

Authorization Signature: (Person authorized to sign for department)

The person who is receiving equipment cannot authorize the IDT.

Can I use this IDT for anything other then ordering equipment through ITS?

No. You will need to use the standard UHart IDT for anything other then equipment purchases through ITS. You cannot use the Hawk IDT to transfer money for wiring or bubble-sheets. For the Accounting Form for a UHart IDT go to UHart Forms and Policies. (log in using UHart credentials).

Preferred Browsers: For the best user experience we recommend you use either Chrome or Firefox when navigating to UHart's secure site.

Where do I send the IDT to when I am finished with it?

You need to send it to ITS, CC125. Do not send it to Accounting. This will only delay receiving the equipment.

Can I order two computers (or more) for two people (or more) on one IDT?

No. For every person that is receiving a computer, you must have a separate IDT for each person.

Can I put several computers on the same IDT for a lab/classroom?

Yes, but you must break down the cost of each PC in the explanation field.

Can I put a printer and computer on the same IDT?

Yes, but they must be on separate lines within the same IDT.

Can I put a capital printer (over $2,500) and a computer on the same IDT?

No. A capital printer (over $2,500) must have it's own IDT.

What happens if I submit an IDT with missing information?

The IDT will be returned and the equipment will not be ordered.

The form won't load, what do I do?

The PDF form will take a couple of seconds to load. However, if it gives you an error or won't load at all, you may need to install or update Adobe Reader. Click on the Adobe Reader button above to install or update Adobe Reader. If you are still having a problem, you can contact ITS.

Can I save my filled in form?

The only way that you can save your filled in form is if you have Adobe Acrobat Professional.

Can I sign the IDT digitally?


Can I just use any Sub-Account to pay for my PC or peripherals?

No. Anything over $2,500 is considered capital expenses and must come from account 68100. Anything under $2,500 is not considered capital, so it must come out of 68110. 68130 is no longer used. 68129 is used for parts and equipment under $2,500.

If I buy a computer that is worth $950 and a printer that is worth $250, is that considered capital?

No. Since printers must be on a different line of an IDT, the computer and the printer would not be considered capital, so they would need to come out of 68110 each on separate lines.

If I buy a computer for $2300 and monitors for $500, is that considered capital?

Yes. A monitor and a PC are considered one unit, so if the PC and the monitor go over $2,500, it is considered capital. If you buy any extra equipment, such as keyboards, mice and external hard drives and the total comes to over $2,500, it must come out of capital expenditures as well.

If I buy a computer for $950 and add an extended warranty for an extra $100, is that considered capital?

No. If the price of the PC OTSelf is under $2,500, it is still considered non-capital. The warranty and the PC must be on separate lines. If the PC on the line is under $2,500, it is not capital. If the PC OTSelf is over $2,500, then it is considered capital.

If I buy a computer and I need an extended warranty, can I add it to the cost of the PC?

No. Extended warranties must be on their own line and must come from 68129, no matter if the PC is capital or not.

If I need to order equipment that I have to pay shipping for, does that need to be on a separate line?

No. That is considered a part of the cost of the item.

What if I need to find out the status of my order?

Please be sure that you have enough funds to cover all computer equipment in the correct budget lines. Any IDT that is NSF (Non-Sufficient Funds) will be returned.

There is a Reset button at the bottom of the IDT. This will clear all the fields.

Click the Print button on the IDT form to print the IDT out.

When you are done, please submit this to ITS, CC125. Do not send to Accounting - this will only delay your order.

The current models are iMac (desktop) and MacBook Pro (laptop). Both the iMac and MacBook Pro come in two different sizes to choose from.

When you fill out the IDT, please let us know if you would like a wired or wireless keyboard and a wireless mouse or wireless trackpad. If this is not noted on the IDT, you will receive a wireless keyboard and mouse.

If you are switching from a PC to a Mac and have any Adobe Software (Acrobat Pro, PhotoShop, etc.) the license for the PC CANNOT transfer to the Mac.  You will have to purchase the license for the Mac version.  Also, any specialty software may need to be purchased as well.  Ask ITS if you do not know if you will need to buy a license for Mac software.
