Binding Process

COVID-19 Binding Update:

Please see the updated instructions for submitting dissertations, doctoral essays, and theses for this semester (spring 2020). Check with your faculty advisor, department head, or Ben Ide if you have questions.

Library, Departmental, and Personal Copies

  • As part of the requirements for graduation, all master’s and doctoral students must submit paper copies of their thesis, essay, or dissertation to the Mortensen Library Resource and Metadata Services Department for binding.
  • Doctor of Education students must submit one (1) paper copy for library retention.
  • All other master’s and doctoral students must submit two (2) paper copies for library retention.
  • Students may submit additional paper copies to be bound at this time if they wish to obtain bound copies for their academic department, for their advisor(s), or for personal use.
  • Please note that some academic departments require students to obtain bound copies for departmental use. Students should check with their department to see what the department’s guidelines are. 

Obtaining Paper Copies of Your Work

The library does not have copying services available. However, copies can be made:

  • On campus, through the University's copy shop, Print Services, in Hillyer 131.
  • Off campus, via commercial copying services, such as Staples, Fedex Office, etc.

Format and Printing

Each paper copy must:

  • Be single-sided.
  • Have a 1-inch minimum left-hand margin to accommodate the binding process.
  • Contain a title page, which includes the student’s name, title of the thesis, essay, or dissertation, the degree earned, and the year.
  • Be approved and signed by all advisors. This signature/approval page must be included in each copy. Note: Only one (1) original page of signatures is required; the rest can be photocopies.
  • Be printed on acid-free paper. Students who are unsure if their paper of choice is acceptable can inquire about it with Melanee Van Haelen. Please note that printer/copier paper is acid-free, and therefore, is acceptable.
  • Be diligently reviewed by the student before submission to ensure that pages are not out-of-order, upside down, missing, etc. Library staff cannot go through every thesis, essay, or dissertation to ensure that all pages are present and in the correct order. Items are bound exactly as they are received. 


Please see the Binding Form for binding costs and fees.  Extra fees will be charged for submissions that

  • Are printed on glossy/photo paper.
  • Require a pocket.
  • Include fold-out(s).
  • Are larger than 8.5" x 11".

Note: These fees vary so please contact Melanee Van Haelen for pricing. 


  • Payment must be made when the thesis, essay, or dissertation is submitted to the library for binding.
  • Bindery payments should be made by check or money order, payable to Mortensen Library, for the exact amount due.
  • Unfortunately, we are not able to accept payment via credit/debit cards.

A copy of the Binding Form will be provided to students as proof of submission and payment.

Verification of Submission

  • Once all of the student’s thesis, essay, or dissertation submission requirements have been met, the library will send verification via email or mail to the appropriate department and/or advisors.
  • In no way does this imply that the library "approves students for graduation."  Library staff is simply notifying academic departments that master’s and doctoral candidates have met their thesis, essay, or dissertation submission requirements.

Services and Timeline

  • The University Libraries offer thesis, essay, and dissertation binding services through ACME Bookbinding in Cambridge, Mass.
  • Depending on when a student drops off his or her thesis, essay, or dissertation for binding, it may take six (6) to ten (10) weeks for the bound copies to be returned to the library. Students should plan submission of their paper copies accordingly. Note: Students do not need to have received their bound copies back from the bindery in order to have fulfilled the binding requirement. The binding requirement is fulfilled once the library accepts the student’s unbound paper copies.
  • When the materials are ready to be picked up, students will receive an email notification along with instructions about the pickup location (which usually is the Mortensen Circulation Desk).

Office Hours and Location

Theses, essays, and dissertations that meet all library and departmental requirements should be brought to Melanee Van Haelen at Mortensen Library's Resource and Metadata Services Department.

  • The Metadata Services Department is on the lower level of the library and is the third door on the right at the bottom of the stairs.
  • Office hours are 8:30 a.m. to 4:30 p.m., Monday–Friday.
